Privacy Policy for Companies

Last updated: 2025. FlexWork – Processing of data in company registration and use of the platform.

This policy describes how FlexWork processes personal data and company data collected when companies register and use the platform, in compliance with Japan’s Act on the Protection of Personal Information (APPI) and other applicable laws.

1. Data Controller

The controller of the data collected in connection with company registration and use of the service is the FlexWork platform operator. Contact: hello@flexwork.jp | www.flexwork.jp.

2. Data We Collect (Companies)

In relation to company registration and account, we may collect: (a) company data: company name, corporate registration number (法人番号), business type, sector, number of employees, foundation date, capital, website, full address (postal code, prefecture, city, district, street), company description, hiring areas and frequency; (b) representative and contact data: full name of legal representative, position, email, phone and mobile; (c) usage data: posted jobs, applications received, access and usage logs, support communications and system logs.

3. Purposes and Legal Basis

Data is used for: provision and operation of the service (registration, job posting, application management, payments where applicable); compliance with legal obligations (including under labour law and the APPI); improvement of services, security and fraud prevention; and communication with the company (support and necessary information). Processing is based on consent (registration and acceptance of this policy), performance of the platform use contract and, where applicable, legitimate interest or legal obligation under the APPI.

4. Sharing

Company and representative data necessary for job listings (e.g. company name, sector, location) may be displayed to workers on the platform. We may also share data with service providers (hosting, email, technical support) acting on our behalf, and with public authorities when required by Japanese law.

5. Retention

We retain data for as long as necessary for the purposes described above and to comply with legal or regulatory obligations in Japan. After account closure or when no longer necessary, data will be deleted or anonymised unless the law requires a longer retention period.

6. Security

We implement appropriate technical and organisational measures to protect data against unauthorised access, loss, alteration or disclosure, in line with good practice and applicable requirements under the APPI.

7. Your Rights (APPI)

Under Japan’s Act on the Protection of Personal Information, the company (or the representative, where applicable) may request disclosure, correction, deletion or cessation of use of personal data we process. To exercise these rights or lodge a complaint, contact us at hello@flexwork.jp. We will respond within a reasonable time and to the extent required by law.
